Process management at TH Wildau

Process management at TH Wildau aims to professionalize university processes and make them more transparent, as well as to support digitisation as a whole. Therefore, process management is an integral part of our university and should:

  • Consolidate the process view at the university,
  • Design processes efficiently,
  • Create standards in process flows,
  • Improve collaboration,
  • Secure knowledge about process flows as well as
  • Identify and eliminate process-related weaknesses.

Who is the team?

The process management team is part of the Organisation and Controlling department and consists of Maria Wenzel, Sebastian Christeleit and Tony Mühlberg.

What are the tasks of the team?

The process management team is primarily responsible for recording processes at TH Wildau, visualizing them and checking that they are up to date. The goal of their work is to make the individual processes clear and transparent so that they can then be made available to all employees and students in the process portal.

How does the team proceed when recording processes?

1) We discuss which processes should be included and according to which priority in the process management working group and/or in work meetings.

2) The process owner is contacted and invited to the process recording. The process owner can name other necessary persons for the process recording. In preparation, a process profile is sent out for completion. This forms the basis for the process recording. Alternatively, the process owner can send the completed process profile to the process management team. Subsequently, an appointment is made for the process recording.

3) The process management team maps the process (or process variants) and makes them available for approval.

4) The process owner releases the process.

5) The process is published on the process portal.

In July 2019, a cross-functional working group was formed to drive strategic process issues.

Members of the working group are:

  • Vice-president for Digital Affairs and Quality Management - Prof. Dr. Kubica
  • Professor of Information Systems with a focus on business process management - Prof. Dr. Lübbe
  • Responsible for the further development of QM topics - Ms. Schmid
  • Assistant to the President - Ms. Körner
  • Assistant to the Chancellor - Ms. M. Bauduin (Substitution by Ms. C. Heinrich)
  • Process Management Team - Ms. Wenzel, Mr. Christeleit, Mr. Mühlberg

The meetings are held monthly.

In December 2020, the Executive Board adopted the prozess map for TH Wildau. The process map provides a graphical overview of the totality of all subject areas (process clusters) at our university.

Structure of the process map

 

The process map is divided into the three classic process types:

  • Management processes - our strategy & control
  • Core processes - our core business
  • Support processes - our support

For each process type, process clusters have been defined behind which the actual operational processes are located.
